Manage who can sign in to the Operations Hub, what role they hold, and which areas each person can see. Full access shows every area; Limited shows only the areas you check. Use Send reset email to let someone (re)set their own password.
Levels are reusable access profiles. Set which areas a level grants here, then assign people to a level on the User Access screen. Change a level's areas and everyone on that level updates automatically. (Who can manage users is set per person on the User Access screen.)

Open a client in QuickBooks Online — the billing timer starts automatically.
Review auto-routed client documents awaiting approval.
Restrict specific team members from seeing certain clients' or vendors' email threads. By default everyone on the team sees all client & vendor comms. Admins are never restricted.
Manage the Note type choices that appear when adding a Client Note (Client Work → Client Notes). Changes apply firm-wide to all staff. Existing notes keep their saved type even if you hide or delete it here — use Hide to take a type off the dropdown without losing it.
Manage the Content Type choices in Push to Client Portal. Section sets where each push is delivered — Message / Note / Meeting / Meeting Notes → client Messages feed (dedicated portal sections arrive in Phase 2); Document → client Documents (file required); Task → client Tasks. Changes apply firm-wide. Deleting a type that's in use requires Merge first.
Paste a copied LaunchBay project chat, Parse & Preview, fix any sender/direction or untick lines to exclude, then Approve & Import into a client portal as history. Imported messages are flagged historical, so they never create tasks or auto‑replies. Reword any internal remarks in the source before importing.
Always export a backup before receiving an updated version of this file. After loading the new file, use Import to restore your data.
Sets the earliest year shown in the Month End Close period dropdown. The list runs from next year down to this year, so lowering it adds older years. (Next year is always included for early period setup.)
For a QBO-connected entity, Balance Sheet / Income Statement / Cash Flow Reconciliation automatically detect that entity's real QBO history — every year it actually has data for, straight from QBO's own reports. This setting is only a fallback floor, used when an entity isn't QBO-connected yet or the live lookup fails, so manual-entry entities still get a sensible year list.
Meeting Types (Sales Consultation, Tax Work, Accounting Work, Other, …) and their per-type prep fields are managed here — admins can edit existing types or add new ones. The integration settings below are stored on this device only.
This list powers every client dropdown in the app. It is managed here and syncs from QuickBooks Online. To refresh from QBO, paste a fresh list below (one client per line).
Back up and restore all app data. Always export a backup before receiving an updated version of this file. After loading the new file, use Import to restore your data.
Control which sections, tiles, and tools appear on the home dashboard and in the top navigation. Changes apply immediately. Use roles to hide items from non-admin users.
Manage all client lists. Move any client between Monthly, Other, and Inactive. Changes save locally and sync to Supabase for the Chrome extension.
When you change a client's type above, the matching OneDrive folder move is queued here — the app can't move drive folders itself. Ask Claude to "run pending folder moves," or move them manually, then mark each Done.
Group commonly-owned entities so tasks and communications can be reviewed together. Each client belongs to at most one group.
Manage apps tracked by the AAC Time Tracker Chrome Extension. Changes sync to Supabase; the extension updates every 24 hours.
Map each client's QuickBooks Online company (realm) ID and/or ProConnect client ID so the time tracker bills QBO and ProConnect time to the right client automatically. Both IDs are the numbers in the respective app URLs (QBO: realmId=…; ProConnect: …&clientId=…).
Notifications match a task's watcher / assignee name to a team member. First-name and exact-name matches are automatic; add an alias for any nickname or spelling that doesn't auto-match. Any unmatched name used on a task is flagged below.
Choose how each team member's notification emails are sent. Default is Gmail; set members on Microsoft 365 (e.g. Aderra) to Microsoft 365. Quiet hours are each person's own setting (🔔 → ⚙) and are shown here for reference.
The firm-wide map the time tracker uses to auto-bill QuickBooks / ProConnect work to the right client — once anyone confirms a client for a QBO company, every staff member's extension uses it. Click ✨ Suggest to match your connected QBO companies to clients (review the confidence and pick before saving — nothing is written until you click Save), or add / adjust rows manually below.
The Google Apps Script team members copy from Comms → 🔄 Sync Gmail is published from here. Edit and Publish to roll a new version out to everyone instantly, or Make active to roll back. Full version history is kept.
Maps each Claude project folder to a client or client group, and sets who the daily Claude Project summary task is assigned to (and who watches it). The scheduled digest reads this map; new Claude projects appear here automatically once it runs — map them, set the assignee/watcher, or untick On to skip a project. A project may map to a client or a client group (picking one clears the other).
Select a report, set parameters, then open directly in QuickBooks Online. After downloading, log it here to auto-name and file it following your document standards.
Select a client and period, then use the buttons below to pull live QuickBooks data into Claude. Each section generates a precision-formatted request — click 📡 Request to copy it, paste it into the Cowork chat, and Claude will pull the data using the QBO MCP tools.
Connect your firm's own QuickBooks account so that time entries logged by each team member automatically sync as Time Activities in QBO — mapped to the client they were working on.
Bookkeeping & accounting work status across QBO clients — close progress, reconciliations, open items, and more.
Key financial metrics for all connected clients — sorted, compared, and refreshed in one place.
Pull uncategorized transactions from QBO, get AI-suggested categories, review and approve, then write back to QBO in bulk.
